Permit To Work - Glossary

Term Definition
Permit To Work (PTW) An electronic document which specifies a work that needs to be done. This document includes the work details e.g. from and to date, area map, tasks.
PTW System A feature of Fewzion that allows users to create, review, approve and close PTWs.
Fewzion The Work Management System that features the PTW system.
User A person, who is using Fewzion. This person has a username and a password so this User can log in to Fewzion and perform different actions within the system.
Role A system term that allows a User to take particular action(s) within the system. For example, a User with Company Representative Role can create, review, approve and close a PTW.
Company Representative A User, who is an Anglo employee and has the Company Representative Role.
Company Representative Role Allows a User to create, review, approve and close a PTW.
Contractor Supervisor A User, who is an employee of a contractor company and has the Contractor Supervisor Role.
Contractor Supervisor Role Allows a User to create, review and close a PTW.
Geotechnical Engineer A User, who is an Anglo employee with Geotechnical Engineer occupation and has the PTW Technical Expert Approver Role.
Ventilation Officer A User, who is an Anglo employee with Ventilation Officer occupation and has the PTW Technical Expert Approver Role.
Underground Mine Manager A User, who is an Anglo employee with Underground Mine Manager occupation and has the PTW Technical Expert Approver Role.
PTW Tech Expert Approver Role Allows a User to approve a PTW on the Technical Expert Approval level.
Technical Expert Approval A PTW approval level (first tier) that includes users with the PTW Tech Expert Approver Role such as Geotechnical Engineer, Ventilation Engineer and Underground Mine Manager. Technical Expert Approval is driven by specific checklist question answers.
Corporate Approval A PTW approval level (second tier) that includes users with the Company Representative Role. Corporate Approval is always required.
Compliance Officer A User, who is an Anglo employee and has the PTW Compliance Officer Role.
Compliance Officer Role Allows a User to overwrite compliance issues and change the name of the approvers (on the Technical Expert Approval and Corporate Approval levels) within a PTW. 
Compliance Issue A condition that is specified as a Compliance Policy (e.g. Support Plan required) in Fewzion. When a Compliance Issue occurs, the PTW cannot be submitted for approval. The Compliance Officer can either overwrite or reject the occurred Compliance Issues.
Compliance Breach The violation of one or more Compliance Policies.
Administrator Role Allows a User to access the Manage screen and perform actions on the settings (e.g. add a new user, modify the Roles of a user, add a new process, modify a checklist question).
PTW Status An indicator that shows the status of the PTW at a particular time during the Permit To Work process. The PTW Statuses are Draft, Awaiting Overwrite, Awaiting Technical Approval, Awaiting Corporate Approval, Rejected, Approved, Expired and Closed.
Draft Indicates that the PTW has been created but has not been reviewed or sent for approval. The involved Users are the Company Representative and Contractor Supervisor, who can either create or review a PTW.
Awaiting Overwrite Indicates that the PTW has been created and reviewed but it has been sent for the Compliance Officer due to a Compliance Issue. The involved User is the Compliance Office, who can either overwrite or reject to overwrite the Compliance Issue.
Awaiting Technical Approval Indicates that the PTW has been sent for Technical Expert Approval. The involved Users are the Geotechnical Engineer, Ventilation Officer and Underground Mine Manager, who can either approve or reject a PTW.
Awaiting Corporate Approval Indicates that the PTW has been sent for Corporate Approval. The involved User is the Company Representative, who can either approve or reject a PTW.
Rejected Indicates that the PTW has been rejected during the Compliance Breach overwrite or the approval process. The involved User is the Company Representative and Contractor Supervisor, who can modify the PTW and review the changes.
Approved Indicates that the PTW has been approved by all approvers, hence the work can start or the work is in progress. The involved User is the Company Representative and Contractor Supervisor, who can start the closing process of the PTW.
Expired Indicates that the PTW has reached the end date (to date) of the PTW, hence the PTW need to be closed. The involved Users are the Company Representative and Contractor Supervisor, who can either start to close or close a PTW.
Closed Indicates that the PTW has been closed by the Company Representative and Contractor Supervisor.
Response Time Indicates the available time (e.g. 5 business days) that a PTW can stay in a particular PTW Status. Response Time can be set for the following statuses: Draft, Awaiting Overwrite, Awaiting Technical Approval, Awaiting Corporate Approval, Rejected and Expired.
Due Date Indicates an actual date, when a PTW needs to be moved from one PTW Status (e.g. Draft) to another PTW Status (e.g. Awaiting Technical Approval) based on the Response Time.
Urgent A display option of the Gantt chart, that indicates that the Response Time of the PTW Status will be reached within 4 hours.
Overdue A display option of the Gantt chart, that indicates that the Response Time of the PTW Status has been reached.
Duplicate PTW A context menu option of a PTW on the Gantt chart, that allows a User to duplicate an existing PTW. The duplicated PTW will include all information of the original PTW with a new PTW number. The User is allowed to change all field information within the duplicate.
Reissue PTW A context menu option of a PTW on the Gantt chart, that allows a User to reissue an existing PTW. The reissued PTW will include all information of the original PTW with a new PTW number. The User can only change the From Date and the To Date field information within the PTW.
Spatial Time Service (STS) The Visual Management System that features the area map for the PTW System.
